Most company knowledge does not live in a wiki. It lives in files: the price list someone updated last Tuesday, the policy PDF, the signed contract, the onboarding checklist that three people keep re-sending. Every question that ends in one of those files costs a search, a hunt through folders, or a colleague's attention.

The OneDrive and SharePoint integrations give your assistant the same reach into those files that your team has, on every channel it already works in. Here is what it does, what to hand it first, and how it sits next to the AI Microsoft already ships.

Why give an AI assistant your files

An assistant grounded in a knowledge base answers from what you taught it. An assistant with file actions can also go and get the thing: the current version, the actual document, the link the customer can open. That closes the gap between "here is what the policy says" and "here is the policy".

It also works in the other direction. The assistant produces things all day: summaries, transcripts, drafts, reports. Without a place to put them, they live in a chat. With OneDrive or SharePoint connected, they land in the folder where the team expects them, named the way the team names things.

And because the assistant answers on WhatsApp, Instagram, the web widget, email and Slack, the files become reachable from wherever the question is asked, by a customer or by a teammate.

What the OneDrive integration can do

  • Two triggers
    On New File fires when a file lands in a folder; On File Changed when a file is edited, renamed or moved. A signed contract dropped in a folder can start the next step without anyone announcing it.
  • Find and fetch
    Search Files looks by name or content, Get File returns the details and the link, Download File pulls the file itself. This is the "where is the latest price list" question, answered with the link.
  • Put back and tidy
    Upload File, Update File (rename or replace content), Create Folder, and Delete File, which moves to the recycle bin rather than destroying anything.

SharePoint: the same reach for company libraries

Teams that keep documents in SharePoint sites rather than personal OneDrive folders get the same set of file actions there: Search Files, Get File, Download File, Upload File, Update File, Delete File and Create Folder. The two folder triggers are OneDrive-only for now, so "react when a file lands" runs on OneDrive, while "find it, fetch it, put it back" works on both.

One requirement to know before you connect: the SharePoint actions need a Microsoft 365 subscription. SharePoint only exists on Microsoft's business and enterprise plans, the same plans that come with Copilot Chat, so a personal Microsoft account can connect OneDrive but not SharePoint. If your company already runs on Microsoft 365, you have what you need.

Ideas: what to hand the assistant in OneDrive and SharePoint

The file actions turn into everyday jobs once you name the folders. The "reacting when a file lands" group needs OneDrive; the rest works on SharePoint too. A few to start with:

Finding things

  • The latest version, on request
    "Where is the current price list?" The assistant searches by name or content and answers with the link, in Slack or in a customer conversation.
  • Customer answers from your documents
    Product sheets, policies, and manuals become answers the assistant can give on WhatsApp or the web widget, with the file link attached when the customer wants the detail.
  • Templates and forms
    "Send me the NDA template" or "the onboarding checklist" fetched from the folder where they live, not from someone's memory of where they live.

Reacting when a file lands

  • Contract intake
    A signed contract dropped into the Signed folder starts the next step: the record updated, the team told, the welcome email sent.
  • Invoices from suppliers
    A PDF landing in Invoices Inbound gets read, the amount and due date written to a table, and the approver notified.
  • Applications and submissions
    CVs, entries, or forms saved to a folder are acknowledged and logged as they arrive.
  • Change alerts
    When a shared spec, price list or policy is edited, renamed or moved, the people who depend on it hear about it.

Putting things back

  • Summaries and transcripts filed
    The assistant writes the meeting summary or the conversation transcript and uploads it to the client's folder, named the way your team names things.
  • A folder per client, created on the spot
    New customer signed, new folder made, the first documents placed inside.
  • Reports on a schedule
    The weekly report the assistant produces lands in Reports, and the old draft is replaced rather than duplicated.
  • Tidy by rule
    Files that belong in the archive move to it; the recycle bin, not deletion, catches mistakes.

Where the files show up

The integration is not a place you go. It is a set of abilities the assistant carries into every conversation it already has.

In customer conversations

A customer on WhatsApp asks whether the 2026 catalog has the new sizes. The assistant answers from the knowledge base and attaches the link to the catalog in OneDrive, current version, no human in between. A customer on the web widget asks for the warranty terms; the PDF link arrives in the chat.

In your team's conversations

A teammate in Slack asks for the onboarding checklist. The assistant searches, finds the file, and posts the link in the thread. "Save this summary to the Q3 folder" works the same way in reverse.

In the background

Nobody asks anything. A contract lands in a folder, the assistant reads it, creates the customer record, and tells the account owner. That is the trigger doing its job, and the reason to name your folders on purpose.

Copilot or an assistant you already run?

Microsoft 365 Copilot searches your own files for you, inside Word, Outlook and Teams, and it is priced per user (Microsoft's Copilot page lists current plans). It is built for the person at the keyboard.

The Invent assistant with OneDrive or SharePoint connected is built for everyone else: the customer asking on WhatsApp, the teammate asking in Slack, the folder that just received a file. One knowledge base, one set of Actions, and the files reachable from every channel rather than from one seat. Plenty of teams will run both, and that is a sensible split.

How to connect it

  1. Choose the assistant, open Actions, click Add Action, and pick Microsoft OneDrive or SharePoint. Sign in with your Microsoft account when prompted. SharePoint needs a Microsoft 365 subscription; OneDrive works with a personal Microsoft account too.
  2. Grant the actions the assistant needs. Start with Search Files and Get File; add Upload File and the triggers when you have a folder ready for them.
  3. Point it at a folder. Configure App sets the shared fields once for every OneDrive action: the connection, and optionally a folder. Pin a folder like Invoices when the assistant should only ever work there, or leave the field as AI Controlled and let the assistant pick the folder from the conversation. Then say the rest in plain language in its instructions: "signed contracts go to Clients/Signed", "weekly reports go to Reports".
  4. Ask it for a file you know exists. Read the answer, adjust the instructions.

Set the folder once and every action respects it, or leave it AI Controlled and the assistant chooses from context.

Can an AI assistant find files in OneDrive?

Yes. With OneDrive connected, the Invent assistant searches files by name or content, returns the file details and link, and downloads or uploads files. It can also react when a file lands in a folder or is edited, renamed or moved.

Does it work with SharePoint too?

Yes. SharePoint gets the same file actions: search, get, download, upload, update, delete and create folder. The two folder triggers are OneDrive-only for now, and SharePoint needs a Microsoft 365 subscription, since it is not part of personal Microsoft accounts.

Can it share a document with a customer?

Yes. In a customer conversation it can answer the question and include the link to the document, so the customer gets the current version without a person forwarding it.

Can it delete files?

Only if you grant that action, and Delete File moves the file to the recycle bin rather than removing it permanently.

Is this the same as Microsoft Copilot?

No. Copilot searches your own files for the person using it. The Invent assistant reaches the files on behalf of customers and teammates on every channel it answers, and can act on them through its other Actions.

What happens when a file lands in a watched folder?

On OneDrive, the On New File trigger starts whatever you told the assistant to do next: create a record, notify someone, send an email, or file the document somewhere else.
