TL;DR

  • Gmail has two built-in auto replies: the vacation responder, for when you're away, and templates sent by a filter, for specific emails.
  • Both send the same message to everyone. They can't read the question, answer it, or tell an urgent email from a newsletter.
  • An AI email assistant answers instead of acknowledging. It reads each customer email, replies from your own content in the same thread, and hands the hard ones to your team.
  • Gemini in Gmail helps you write; an AI email assistant replies for you. One drafts for a person, the other answers customers on its own.
  • In Invent, connect Gmail as a channel and point it at one label, like "Support," so the AI answers customers and leaves invoices, newsletters and personal emails alone.

Most businesses turn on a Gmail auto reply for the holidays and forget it. But the emails that matter most, like "where is my order?" or "do you have this in stock?", arrive every day, and an auto reply that says "we'll get back to you" doesn't answer any of them.

This guide shows the two ways to set up an auto reply in Gmail, step by step, what they can't do, and how an AI email assistant answers customer emails for you.

What is a Gmail auto reply?

A Gmail auto reply is a message Gmail sends automatically when an email arrives. Gmail has two kinds: the vacation responder, which answers everyone while it's on, and a template sent by a filter, which answers only the emails that match rules you set.

Method 1: Turn on the vacation responder

Use the vacation responder when you're away and want everyone who writes to know when you'll be back.

  1. On your computer, open Gmail.
  2. At the top right, click Settings, then See all settings.
  3. On the General tab, go to the Vacation responder section.
  4. Select Vacation responder on.
  5. Fill in the date range, subject and message.
  6. Optional: check the box to send the reply to your contacts only.
  7. At the bottom of the page, click Save Changes.

A few rules from Google's help page worth knowing:

  • It runs from 12:00 AM on the start date to 11:59 PM on the end date, unless you end it early from the banner at the top of your inbox.
  • Each person usually gets it once. They get it again if they write after four days while it's still on, or if you edit the message.
  • Spam and mailing lists don't get it.

On the Gmail app (phone)

Android:

  1. Open the Gmail app, tap Menu at the top left, then Settings.
  2. Choose your account and tap Vacation responder.
  3. Turn the Vacation responder switch on.
  4. Fill in the date range, subject and message, then tap Done.

iPhone and iPad:

  1. Open the Gmail app, tap Menu at the top left, then Settings.
  2. Under Compose and Reply, tap Vacation responder.
  3. Turn on Vacation Responder.
  4. Enter the date range, subject and message, then tap Save.

Method 2: Send a template with a filter

Use a template and a filter when you want an automatic reply only for certain emails, like messages to your support address or emails with "invoice" in the subject.

First, turn on templates:

  1. On your computer, open Gmail.
  2. At the top right, click Settings, then See all settings.
  3. At the top, click Advanced.
  4. Next to Templates, click Enable, then Save Changes.

Then, save your reply as a template:

  1. Click Compose and write your reply.
  2. At the bottom of the compose window, click More options, then Templates.
  3. Click Save draft as template, then Save as new template, and name it.

Finally, send it automatically with a filter:

  1. In the search box at the top, click Show search options.
  2. Enter what the emails have in common, like the address they're sent to or a word in the subject.
  3. Click Create filter.
  4. Check Send template, choose your template, and click Create filter.

The steps come from Google's guide to templates. Templates only work from Gmail on a computer.

Gmail auto reply not working? Check these

  • The person already got it. Gmail usually sends the vacation responder only the first time someone writes, and again only after four days.
  • The email went to spam or came from a mailing list. Those don't get a reply.
  • You're on your phone. Templates can only be turned on and used from Gmail on a computer.
  • The email arrived before the filter. Filters only act on new emails, not on the ones already in your inbox.
  • The filter search is too narrow. Search with the same criteria first and check that the right emails show up.

Which auto reply should you use?

What a Gmail auto reply can't do

Both methods are useful, and both have the same limit: they send the same words no matter what the email says.

  • They don't answer the question. "Thanks, we got your email" is not an answer to "is my order shipped?"
  • They can't tell emails apart. A complaint, a sales lead and a supplier invoice get the same reply.
  • Filters only match words. A customer who writes "parcel" instead of "order" slips past a filter built on "order."
  • Nobody is assigned. The auto reply goes out, and the email still waits for someone to notice it.

That's fine for a week off. It's not enough for a business that gets customer emails every day.

Smart Reply, Gemini and AI email assistants

There are three kinds of AI help in Gmail today, and they do different jobs.

Gemini in Gmail is a writing assistant: it helps the person at the keyboard. An AI email assistant for customer support replies to customers without anyone at the keyboard, and only brings in a person when it should.

Two cards with the same email from Nora Bennett asking where order #4821 is. Gmail auto reply: an automatic reply saying the team will get back within 2 business days. AI email assistant: a reply answered by AI saying the order shipped today, arrives Thursday, with the tracking link brightdesk.com/track/4821.

How an AI email assistant answers customer emails

  1. A customer emails your Gmail address. The email arrives as a conversation, next to your other channels.
  2. The AI reads it and checks your content: your website, help articles, policies and price list.
  3. It answers in the same thread, in the customer's language, the way your team would.
  4. It takes action when it can, like looking up an order or booking an appointment through the tools you connect.
  5. It hands off when it should. Complaints, refunds and anything it can't answer go to the right teammate, with the full thread.

How to connect Gmail to Invent

  1. In Invent, choose your assistant and open Channels.
  2. Select Gmail. The card reads "Automate your Gmail inbox with AI."
  3. Under Connection, click Connect Gmail and sign in with the Google account customers write to.
  4. Choose which emails the assistant receives: add Subject Contains words and pick the Gmail Labels it should read. Both are optional, and both make it more accurate. Then click Connect Channel.
  5. Add your help content to the assistant's knowledge, so it answers from your own information.
  6. Send a test email from another address and watch the reply arrive in the same thread.

Use labels and subject filters so the AI doesn't answer everything

Labels and Subject Contains are the two settings that make the assistant accurate. Both are optional, but adding them keeps the AI on the right emails. Your Gmail gets supplier invoices, newsletters, bank alerts and emails from your accountant, and none of those should get an AI reply.

  1. Create a label for customer emails in Gmail, like "Support."
  2. Add a Gmail filter that applies the label to customer emails: everything sent to support@, or emails from your contact form.
  3. Choose only that label in the Gmail channel in Invent. By default the channel reads your Inbox, so narrowing it to one label keeps the assistant on customer emails only.
  4. Add Subject Contains to narrow it further: only emails with words like "Order," "Booking" or "Quote" in the subject reach the assistant.

You can also limit the channel to one sender with From Email. Leave a field empty and it accepts everything, so the more you fill in, the fewer emails the AI answers by mistake.

New emails arrive in the Invent inbox as conversations, next to WhatsApp, Instagram and website chat, so your team works from one shared inbox. If your team uses Outlook, the Outlook channel works the same way.

The Gmail channel window in Invent, "Automate your Gmail inbox with AI." Connection: Bright Desk (support@brightdesk.com). From Email (optional): Choose option. Subject Contains (optional): Order. Labels (optional): Support. Button: Connect channel.

More than replies: what your AI email assistant can do

With the right instructions and connected tools, the assistant handles more than "where is my order":

  • Quote and negotiate within your limits. Give it your price list and the discounts it can offer, like up to 10% on orders over 50 units, and it negotiates inside those rules. Anything outside them goes to a person.
  • Close deals. It answers product questions, sends the quote, follows up, and books a call when the customer is ready.
  • Handle tricky situations with care. For a late delivery or an upset client, it apologizes, explains what happens next, and hands the conversation to the right teammate with a summary.
  • Take notes for invoices. It writes the order details, billing name and tax ID from the email into your CRM or Tables, so finance doesn't copy them by hand.
  • Keep your records up to date. It updates the contact, adds the request to your pipeline, and tells your team in Slack when a big order comes in.

You decide what it can do. Every action it takes comes from the tools you connect and the instructions you write.

The Invent inbox with a Gmail conversation from Amelia Ross asking for a quote on 60 linen tote bags. The AI finds the price list and quotes $1,080 with 10% off orders over 50, for $972. Amelia asks to invoice Ross Studio with a tax ID; the AI saves the billing details, adds the order to the Orders table and confirms. The contact panel shows the Gmail channel, member Marcus, the Customers segment, CSAT Very Good and a memory with the invoice details.

Auto replies on a shared support address

Many businesses answer customers from one address, like support@ or hello@. With Gmail alone, everyone who reads that address sees the same emails, and the auto reply goes out once for the whole team. With an AI email assistant, the AI answers first, and the emails it can't answer are assigned to one person in a shared inbox, so two teammates never reply to the same customer.

Best practices for automatic email replies

  • Say when a person will answer. "Within 4 hours" beats "as soon as possible."
  • Give a next step. A tracking link or a help article answers more than an apology.
  • Keep it short and warm. Two or three sentences, written like a person.
  • Don't let it run forever. An out-of-office from last month makes a business look closed.
  • Check what the AI answers. Read a few AI replies every week and add missing answers to its knowledge.

FAQs

Can I put an auto reply on Gmail?

Yes. Turn on the vacation responder in Settings, See all settings, General, or send a template automatically with a filter for specific emails.

How do I auto reply to specific emails in Gmail?

Turn on templates in Settings, See all settings, Advanced, save your reply as a template, then create a filter for those emails and choose Send template.

Can AI automate email responses?

Yes. An AI email assistant reads each email, answers from your own content in the same thread, and hands the emails it can't answer to your team.

How do I use AI to respond to emails in Gmail?

To draft replies yourself, use Gemini in Gmail. To have customer emails answered automatically, connect your Gmail to an AI email assistant like Invent, which replies from your help content.

Will customers know an AI answered?

The reply comes from your Gmail address, in the same thread. You decide how the assistant introduces itself in its instructions.

What happens to emails the AI can't answer?

They go to your team in the inbox, with the full thread, so the teammate who picks it up doesn't need to ask the customer again.

Does this work with Outlook?

Yes. Connect Outlook the same way, from Channels in Invent. Instead of Gmail labels you pick Outlook folders, and Subject Contains works the same, so the AI only answers the emails you choose. See our Outlook AI email assistant guide.
