TL;DR
- Send each customer a WhatsApp reminder the day before, straight from Google Calendar, Outlook, Cal.com or Calendly.
- Use a Utility template. A reminder needs an approved template unless the customer wrote to you in the last 24 hours, and Utility is the right category.
- Let the AI answer the reply. When the customer confirms, asks a question or wants another time, your assistant answers on the same number and can move the appointment.
- Hand off when a person is needed. Complaints and special requests go to your team in the Inbox with the full chat.
- Set it up in one message. Ask Invent creates an agent with a daily routine that sends the reminders every morning.
A WhatsApp appointment reminder is a short message a business sends before a booking to confirm the day, time and place. It works for clinics, salons, gyms, consultants and property showings. Most reminder tools stop at "sent". The customer replies "can we do 4 instead?" and the message sits in a shared phone until someone sees it. That reply is where appointments are actually saved or lost.
Why reminders work, and where they fall short
People rarely skip an appointment on purpose. They forget, or something changed and rescheduling felt like more effort than not showing up. A reminder fixes the first problem. Only a reminder you can answer fixes the second.
WhatsApp beats email and SMS for appointment reminders because customers already read it and replying takes one tap. But it only works if someone, or something, is on the other end when they do.

What a good WhatsApp reminder looks like
Keep it short and make the next step obvious. A good reminder has four parts:
- Who and when: the business name, the day and the time, in the customer's time zone.
- Where: the address, or the call link for online appointments.
- One clear ask: "Reply YES to confirm, or tell us a time that works better."
- No sales pitch: a reminder is a service message. Adding an offer changes how Meta classifies it.
Timing matters too. The day before gives people time to move the appointment instead of skipping it. A second message on the morning of the appointment helps for early slots or for businesses where a gap in the schedule is expensive.
Here is a template you can copy. Swap Lumen Dental for your business name:
Hi {{1}}, this is a reminder of your appointment at Lumen Dental tomorrow, {{2}} at {{3}}. Reply YES to confirm, or write us if you need another time.
Templates and the 24-hour window
WhatsApp has one rule that shapes every reminder. When a customer writes to you, a 24-hour customer service window opens. Inside it, you can send any message. Outside it, a business can only start the chat with a template that Meta has approved.
A reminder needs an approved template unless the customer wrote to you in the last 24 hours. Meta has three template categories:
- Utility: messages the customer expects, like confirmations, shipping updates and appointment reminders. Appointment reminders belong here.
- Marketing: offers, promotions and anything that sells.
- Authentication: one-time codes.
Meta bills WhatsApp per message, and Meta sets the price by category and country. Utility messages cost less than Marketing ones, and a Utility template sent while the customer service window is open is free (Meta pricing). The charge comes from Meta, not from Invent.
When the customer replies to your reminder, the window opens again. From then on, the conversation is normal back-and-forth with no templates needed.
How to set it up in Invent
You need three things: a WhatsApp number connected to an assistant, your calendar connected, and an agent with a daily routine. You can build all of it by asking Ask Invent in plain words.
1. Approve a Utility template
Go to Channels › WhatsApp › Templates and click New template. Pick Utility, paste the reminder text above and click Submit for review. You can also ask Ask Invent to draft it and send it for approval for you.
Plan for the review. Meta approves most templates within minutes, but it can take up to 24 hours, so create the template a day before you want the first reminders to go out. Once it is approved, you can still change the body: open the template, edit the text and save. Saving sends it back to Meta for review, and the template can't be sent until it is approved again.

2. Connect your calendar
Connect your calendar or booking tool from your apps: Google Calendar, Outlook Calendar, Cal.com or Calendly. Each integration page lists the actions your agent can use, like searching, moving or cancelling bookings. Each appointment needs the customer's WhatsApp number in the event, which most booking tools already add to the description. If your bookings live in a table instead, the routine can read them from there.
3. Create an agent with a daily routine
An agent is an AI teammate that works on its own. A routine tells it when to work. For reminders, use On a schedule with Every day at a time like 9:00 AM, and give it instructions like these:
Every morning, look at tomorrow's events in my calendar. For each appointment with a customer's phone number, send the "appointment reminder" WhatsApp template with their name, our business name, the date and the time. Skip internal meetings.
Give the agent two actions: search calendar events, and send a WhatsApp template. Routine runs never wait for approval, since nobody is there to answer, so test the routine once on a calendar with a single sample event before turning it on for everyone.

Want a second reminder on the day? Add another routine at 7:00 AM that looks at today's appointments after 10:00 AM.
When the customer answers back
Answering the reply is the part most reminder tools leave out, and it is where AI customer support earns its place. The reply goes to your WhatsApp number, and the AI assistant on that number answers it right away, day or night:
- "YES" gets a short confirmation.
- "Can we do 4 instead?" gets an answer after the assistant checks your free time. If you give it the actions to update events, it moves the appointment itself. With Calendly, it cancels the old time and sends a new booking link instead.
- "Where do I park?" gets answered from your knowledge, like any other question.
- "I need to cancel" can cancel the event and offer another slot.
When a reply needs a person, like a complaint or a special request, the assistant hands the chat to your team in the Inbox. Your team picks it up with the full conversation in front of them.
Reminders for your team too
Reminders for customers come from agents. Reminders for yourself come from Ask Invent. Type "remind me to call Nora back tomorrow at 10" and it shows up in Tasks › Coming up, then lands in your chat at that time. It is useful for the follow-ups that come out of reminder replies: the customer who wants a quote before they confirm, or the one who asked for a callback.
FAQs
How do I send appointment reminders on WhatsApp with Invent?
Approve a Utility template in Channels › WhatsApp › Templates, connect Google Calendar, Outlook, Cal.com or Calendly, and create an agent with a daily routine that sends the template to tomorrow's appointments. When customers reply, your assistant answers them on the same number.
Can WhatsApp send automatic reminders by itself?
The WhatsApp Business app cannot send appointment reminders on a schedule. Its automatic messages are greeting and away messages. To send reminders automatically, you need the WhatsApp Business Platform (the API) and a tool that reads your bookings and sends each message on time.
Do I need a template for WhatsApp reminders?
Yes, unless the customer wrote to you in the last 24 hours. Outside that window, WhatsApp only lets a business start a chat with an approved template. Use the Utility category.
How much does a WhatsApp reminder cost?
Meta charges per template message, with a price that depends on the category and the customer's country. Utility messages are cheaper than Marketing, and they are free while the customer service window is open. Check Meta's rate card for your countries.
What happens when a customer replies to a reminder?
With Invent, your AI assistant answers on the same WhatsApp number. It can confirm, answer questions, check your calendar, move or cancel the appointment if you allow it, and hand the chat to your team when needed.
How long does Meta take to approve a WhatsApp template?
Most templates are approved within minutes, but Meta can take up to 24 hours. Submit your reminder template a day before you need it.
Can I edit a WhatsApp template after it is approved?
Yes. Open it in Channels › WhatsApp › Templates, change the text and save. The edit goes back to Meta for review, and you can't send the template until it is approved again.
Will the reminder be classified as Marketing?
An appointment reminder is a Utility message as long as it only covers the appointment details and a clear way to reply. Adding a discount or a promotion turns it into a Marketing message, which costs more.
